Collaborators
A collaborator is someone you invite into a single role to help shape it before it goes to candidates. Collaborators don't take up a paid seat and don't see anything else in your account.
When to invite a collaborator
Bring in a collaborator when you want a second set of eyes on the role before you publish. Common cases:
- A hiring manager who owns the requirements and needs to sign off on the challenge question
- A teammate who can add context you don't have
- An external stakeholder (a client sponsor, a domain expert, a fractional recruiter) who should weigh in but shouldn't see the rest of your account
- Someone better positioned than you to record the video intro that candidates see first
Collaborators are scoped to one role. Inviting someone to two roles means sending two separate invites.
Sending an invite
Two entry points open the same invite modal.
From the Collaborators tab

Open the role and click the Collaborators tab in the role sidebar.

Click Invite collaborator. Enter the person's name, email, and their relationship to this role (hiring manager, skip level, recruiter, teammate, or a custom label).

Add an optional personal note. It appears in the invitation email above the boilerplate.

Send. The invitee gets an email with a magic link. Clicking it signs them in (or prompts them to sign in with the same email) and drops them into the scoped role view.
From the Content tab
On the Content tab, the Ask a collaborator tile opens the same invite modal, but tagged for video. The invitation email swaps the generic copy for a request to record the intro, and the collaborator lands on the Content tab instead of Requirements when they accept.
Use this when the person best positioned to speak to candidates isn't you.
What collaborators can do
Collaborators see a stripped-down version of the portal. Only the role they were invited to appears in their sidebar. No other roles, no clients, no billing, no account settings.
- Add context to the role and regenerate role insights, including through the McCoy AI conversation
- Read the requirements, the challenge question, the intro script, and the highlights
- Comment on any section. Comments post to a right-margin thread on that section, Word-style.
- Click Notify Role Owner I like this on the selected challenge question or on any recommended alternate. Each click posts a distinct endorsement comment to the Selected Challenge thread.
- Record their own video intro for candidates, and send more than one take if they want a second try
- See every video take submitted for the role (their own, the role owner's, other collaborators', and any AI avatar) in a shared Video Versions gallery, with playback for each
- Delete their own takes, as long as the take isn't the current pick
- Preview the challenge page as it will look when published
What collaborators can't do
- Edit any field directly. Every change routes through you as a comment or endorsement.
- Publish or unpublish the challenge
- See candidate responses, ratings, decisions, or analytics
- See any other role, client, or account setting
- Invite other collaborators
You have final say on everything they touch.
On your side
Collaborator activity shows up in three places once the role has at least one active collaborator.
Alert bell + email
The bell in the top-right header shows an unread count and lists recent activity: new comments, endorsements, video uploads, and regenerated insights. Each event also sends an email so the loop closes even if you're not in the portal.
Margin comment markers
Every section that has comments shows a small rounded marker in the right margin. Click the marker to open the full thread for that section. Empty sections show a dotted outline so you can start a thread yourself if you want to reply to something in context.
Use this question button
Endorsement comments in the Selected Challenge thread carry a Use this question button. One click swaps the endorsed question text into the Selected Challenge field. No copy/paste, no re-typing.
Managing collaborators
Two places show your collaborators.
- Per-role Collaborators tab. The collaborators on one role, plus the invite button.
- Collaborators in the main sidebar. Every collaborator across every role in your organization. Filter by status (active, pending, expired, revoked) or search by name or email.
From either view, you can revoke a collaborator's access. Revoking is immediate. Their scoped role view stops loading and they get signed out on the next request. Comments and endorsements they already posted stay in the thread.
Common questions
Do collaborators count against my seat count?
No. Collaborators are not paid seats. They're scoped, per-role guests.
Can I invite someone from outside my company?
Yes. The invite works for any email address. External stakeholders see only the role you invited them to.
What happens if a collaborator changes the challenge question I picked?
They can't change it directly. If they want a different question, they endorse an alternate or leave a comment. You decide whether to apply it.
Can a collaborator see who else is on the role?
Collaborators see comments and endorsements from other collaborators on the same role. They don't see the collaborator list or the invite controls.
Where does the collaborator's recorded video go?
Straight to the Content tab as a take in the Video Versions gallery. You review it before it goes live. See the Challenges guide for how the intro video is picked.
Can a collaborator submit more than one take?
Yes. After they record and send a take, they see a Send another version button and can add as many as they want. Every take lands in the shared Video Versions gallery so you can compare them side by side.
Can a collaborator delete a video?
Only their own takes, and only when the take isn't the current pick. Other people's takes and the active pick are read-only for collaborators. If you want to remove the current pick, activate a different take first.
